Automated accounting from Shopify to QuickBooks Online,
with real transactions instantly

Canada, the United Kingdom, Australia, the United States — and beyond, through the QuickBooks Online Global edition. One standard across every edition: every Shopify order becomes a real Sales Receipt or Invoice you can open, every Shopify Payout becomes a reconciled QuickBooks Deposit, and VAT, GST, and other tax codes are recorded to the penny exactly as Shopify collected them. Never an aggregated journal entry.

Everything You Need for Confident Decision-Making

Instant accuracy, accountant-friendly design, and zero manual work regardless of your QBO edition

Instant Sync to QuickBooks Online (QBO)

Every Shopify order appears in QuickBooks Online instantly, not in batches at end of day or a week later — web or POS, B2C, B2B, or DTC, all fully supported. See accurate financials any time you need them and make informed decisions.

🧾

Actual Transaction Documents

Each order creates a clear Sales Receipt / Refund Receipt or Invoice / Credit Memo transaction document in QuickBooks Online. No aggregated "Frankenstein" journal entries that hide what actually happened.

💯

Accurate

Transaction documents created in your QuickBooks Online accounting system that match your Shopify orders to the penny. No mystery discrepancies to chase down.

👥

Customer Matching — Unique or Bulk

Your business, your rules. Track every Shopify buyer as their own QuickBooks customer for full sales history and repeat-purchase visibility — or consolidate all store sales into a single bulk customer to keep your chart of accounts clean. Switch any time. Both approaches are fully GAAP-compliant and work for any business model.

🏷️

Item Matching — Unique or Bulk

Map each Shopify product to its own QuickBooks item for line-item sales reporting — or route all sales through a single bulk item per store for frictionless bookkeeping without inventory overhead. When unique items are enabled and a product is configured as an inventory item in QBO, quantities are decremented automatically as orders sync.

🗂️

Operational Dashboard

Real-time snapshot of your Shopify operations across every connected store — from a single screen. Five document views give instant visibility: Open Sales, Fulfilled Sales, Cancellations, Refunds, and Payouts — each with sync status indicators, quick filters, and daily and month-to-date totals. Know exactly where every order and payout stands without opening Shopify or QuickBooks.

📊

Sales Tax Handled Correctly

Per-order Sales Receipts and Invoices arrive in QuickBooks Online with line-item taxable flags, customer Bill-To and Ship-To addresses, the QBO Location, and the actual tax amount Shopify collected — recorded to the penny against the appropriate QBO tax agency. QBO's tax framework, driven by your tax-agency and nexus configuration (economic or physical), handles attribution and the Sales Tax Liability Report from there. No manual tax entry spreadsheets needed.

🔄

Automatic Reconciliation

Every Shopify payout is automatically reconciled to a real QuickBooks Online Deposit, with each linked transaction document — Sales Receipts and Refund Receipts, or Invoices, Payments, and Credit Memos for invoice-based accounting — posted as its own line. Processing fees, refunds, chargebacks, disputes, and the taxes Shopify collected each land in the right account, and any difference between the payout and the deposit is caught and flagged automatically, down to the penny.

⏱️

10-Minute Setup

Connect Shopify and QuickBooks Online in minutes, not hours. No complex mapping or configuration gymnastics required.

Why Summary Integrations Break Down

The problems that follow a merchant from Toronto to London to Sydney

A tax filing you can total but cannot evidence

Summary-based integrations post one aggregated figure per payout cycle. When HMRC, the CRA, the ATO, or your local tax authority queries a filing, there is no underlying tax invoice to open — just a number assembled from a payout, and a scramble to rebuild the detail from Shopify exports.

Tax that drifts a few cents at a time

Your customer was charged an exact amount. An integration that lands a different figure in QuickBooks Online introduces a few cents of drift on every order — and by quarter-end that is a reconciliation gap nobody can explain and everybody has to chase.

Orders that quietly stop syncing

Outside the United States, QuickBooks Online doesn't come with tax codes ready to go the way it does for US companies. An integration that assumes otherwise can leave orders stuck or tax miscategorized — and you're the one who finds out, days later, not the integration.

Why Per-Transaction Matters More Here, Not Less

A summary journal entry is a weaker artifact in London, Toronto, and Sydney than it is in the US

Outside the United States, the unit of evidence for your tax authority is the individual tax invoice. HMRC under Making Tax Digital, the CRA, and the ATO all expect to see the transaction — not a daily total someone assembled from a payout. An integration that posts an aggregated summary hands your accountant a number to defend and nothing to defend it with.

weintegrate posts the document itself. Every Shopify Order ID maps 1:1 to a QuickBooks Online document carrying the customer, the line items, and the exact tax Shopify collected. When a filing is queried, you open the sale.

weintegrate Handles Tax in every QuickBooks Online Edition

The same intelligent tax engine, the same standard, wherever your QuickBooks Online company is based

An intelligent tax engine that enforces the penny

WeIntegrate enforces the exact tax your store charged the customer onto every QuickBooks Online document. Your totals match what you actually collected — in pounds, dollars, euros, rupees, or rand — with no drift to chase at quarter end.

Set once, then forget it

Tell WeIntegrate which of your QuickBooks Online tax codes to use during setup and every order after that is handled automatically. No per-country rate tables to build, no mapping to maintain as you grow.

A real document behind every tax figure

Each Shopify Order ID maps 1:1 to a QuickBooks Online Sales Receipt or Invoice carrying the customer, the line items, and the tax collected. When a return is queried, you open the sale rather than reconstruct it.

Payouts reconciled in your own currency

Every Shopify Payout becomes a real QuickBooks Online Deposit with fees, refunds, and adjustments itemised against the orders that produced them — and any discrepancy between payout and deposit is flagged automatically.

Nothing to configure in the United States

US QuickBooks companies use Automated Sales Tax, whose taxable and non-taxable codes are a status rather than a rate. WeIntegrate detects that and hides the tax mapping step entirely — there is nothing for US merchants to set up.

Setup takes about 10 minutes

Connect Shopify, connect your QuickBooks Online company, map your two tax codes, and you are syncing. No data migration, no overnight batch — new orders post as real documents immediately.

International Coverage FAQ

WeIntegrate syncs Shopify to the QuickBooks Online United States, Canada, United Kingdom, and Australia editions, and to the QuickBooks Online Global (International) edition everywhere else — across Europe, Mexico and Central America, South America, Asia, the Middle East, Africa, and Oceania. The country list on this page is representative rather than exhaustive: any company running the Global edition is supported once its standard-rated and zero-rated tax codes exist in QuickBooks Online.

Two codes, mapped once. WeIntegrate applies your standard-rated code on lines where Shopify charged tax and your zero-rated code where it did not. In the Canada, United Kingdom, and Australia editions QuickBooks Online already ships the codes and you simply pick them; on the Global edition you create the two codes in QuickBooks first, then map them. US companies skip this entirely — Automated Sales Tax is detected and the tax step is hidden.

To the penny, on every order, in every country. WeIntegrate's intelligent tax engine enforces the exact tax your store charged the customer, so your tax filing reconciles against what you genuinely collected — no rounding surprises, no adjustment journals at quarter end, no reconciling a few cents of drift by hand.

Your amounts stay penny-accurate either way — the intelligent tax engine enforces exactly what your store collected on every order. Classification is the part worth a look: outside the US, taxed lines are classified under a single standard-rated code, so if you sell at a mix of rates — UK 20% and 5%, for example — or across multiple jurisdictions, ask your accountant how you want those presented on your filing.

Not currently. WeIntegrate is available in US English only, wherever your QuickBooks Online company is based. The tax codes, currencies, and filings are local to your country; the interface is English.

No — WeIntegrate makes filing painless rather than filing for you. WeIntegrate makes sure every Shopify order arrives in QuickBooks Online as a real document carrying the exact tax Shopify collected and the correct tax code. QuickBooks Online then produces the filing — the GST/HST return for the CRA, a Making Tax Digital VAT return for HMRC, GST reporting for the ATO’s Business Activity Statement, or the equivalent on the Global edition. You or your accountant submit it.

“It was very helpful getting Shopify and QuickBooks Online connected, and the accuracy is a weight off my shoulders. Good people to have in your corner!”
